Job Description

Assistant Manager , Administration 1. Guest house Management & Local Transport arrangements Booking of Guest house for employees. Optimum utilization of existing resources. Service standards are to be monitored all throughout the year along with employee feedback Half Yearly visit to Guest house to check the standards and capture in a report. Booking Related to Late Night Women Employees home drop. Ensuring policy & procedure is being followed for transport. Shuttle Services for Employees to be made available. Zero escalation and deviation from policy. 2 Driving Admin Helpdesk, Attendance management, Seat mgmt/ Meeting rooms are well maintained & equipped. Seating allocation & Seat Management Work n Syn through portal Keep the tracker updated on monthly basis. Ensure optimum utilization of space. Booking & mgmt. of Recreational Spaces, Meeting/Conference room,Board room, Dinning space & Cafeteria etc. Manage the issues pertaining to attendance of employees through access control system. 3 Budgeting, PR & Purchase orders & Cost optimization initiative. Tracking of expenses month on month Ensure billing payment is managed and no outstanding. Provision of expenses to be submitted on timely basis. Review of budgets on monthly basis. 100% PR & PO for all the activities through SAP 4 Cafeteria, Health & Safety, Management, Dining Room & Consumable Supplies Water, Tea/Coffee, Staff welfare & event refreshments, Guest Meal arrangements etc. Crockery & Cutlery services. Tuck shop & vending machine management. Quarterly overall audit of Tuck shop, Base kitchen incl. Food, Menu, Cost, Hygiene, Quality standard & Compliances etc. Pantry staff training & Day to day operations Tie up for ODC with different Hotels & Restaurants. General Printing & Stationery stock & MIS Ensure compliance with health and safety standards and industry codes. Monthly report handled through Admin Helpdesk GDC Facility ID. 5 Courier services/Mail room mgmt Ensuring timely delivery of all packets & parcels (incoming and outgoing) Ensuring closure of courier greviences Maintaining courier tracker inward & Outward. Gate pass- approve gate pass and make all necessary documents for courier, ensure process is being adhered. 6 Monthly Expense Report, Petty Cash mgmt & Agreement renewals Petty cash mgmt. & Fortnightly submission of Bills MIS of Entire Domain is being prepared on the set frequency and shared for review. All agreement and Contracts to be monitored /reviewed whenever required.
