Job Description

    Primary Duties and Responsibilities:
    • Administrative Assistance: Perform routine administrative tasks such as filing documents, managing data entry, handling phone calls, and responding to email inquiries.
    • Appointment Scheduling: Coordinate and arrange meetings, appointments, and conference calls, ensuring meeting spaces are equipped with necessary materials and equipment.
    • File and Record Management: Oversee the organization and maintenance of office files, both physical and digital, while maintaining confidentiality and ensuring document accuracy.
    • Visitor Reception and Client Interaction: Welcome and assist visitors and clients, delivering high-quality customer service and directing them to the relevant team members or departments.
    • Office Supply Inventory: Track office supplies and reorder when necessary, ensuring that essential materials are available and restocked in a timely manner.
    • Mail and Package Handling: Manage incoming and outgoing mail, packages, and deliveries, ensuring timely distribution and dispatch.
    • Data Management and Reporting: Enter data into various systems such as spreadsheets and databases, and assist in creating and compiling reports as needed.
    • Office Upkeep: Ensure that shared office areas, including meeting rooms and kitchen spaces, are tidy and well-maintained. Report any necessary maintenance issues to the proper department.
    • Event Support: Assist in the planning and coordination of company events, meetings, and activities, managing RSVPs and handling event logistics.
    • Cross-Departmental Support: Provide administrative assistance to various teams by preparing documents, drafting presentations, and organizing critical information.
