Job Description

    Purpose of the Job (overall high level summary of the job) Ensuring accurate and complete information pertaining to employee is readily available with HR Team. Ensuring maintenance of personal files for all employees with complete documents as per the checklist. Ensuring all Pre hiring and Post hiring checks pertaining to employees has been done. Ensuring all Employees are enrolled under the Hospitalization and Accident Policy of the Company. Ensuring accurate Leave & Attendance tracking for all employees. Ensuring accurate and timely headcount reporting to HK. Ensuring that HR related data on staff movements is shared with the department as per schedule. Ensuring FIM guidelines are adhered to, in all HR processes.Principal AccountabilitiesHow they are achieved/measured%Supervising Employee Database maintenance on the HRIS (PeopleSoft)Supervising Personal File MaintenanceReporting & Analytics.Administration of Background Verification for all employees.Supervising Issuance Of Employee LettersHR Compliance Employee database is updated with job, education, experience, personal and residence related information obtained from the joining documents of the employees in the HRIS system. Apart from this all employee joining, transfers, confirmations, salary changes and resignations are also updated in the system. Various reports are churned out from the system by making use of the query feature. Incase of any technical issues in the standard reports, system in general or in creating new customized reports the support team is contacted.Once the joining forms are received the same are filed in the personal files of employees sequentially. Follow up is done for all pending documents. The personal file is to be signed off post completionSupervising as well as preparing all monthly/weekly/quarterly reports required by internal and external customers as per decided timelinesResume, Application Form, Education certificate copies and experience certificate copies are sent to an empanelled vendor to conduct Background Verification. All reports received are scrutinized to ensure they are as per the guidelines mentioned in the RFP. All clear reports are filed in the personal files of the employees. All negative reports are further discussed with the employee incase of discrepant or incomplete information provided by them and taken forward accordingly.Issuance of all types of letters to employees like appointment letters, confirmation (on receiving approval), bonus, increment and other miscellaneous letters like address proof etc on need basisEnsure timely and error free compliance reporting to HK. Ensuring other adhoc requirements from HK in the form of reports is met within the prescribed TAT.Ensuring compliance to FIM guidelines in all the above listed activities.Vendor ManagementResponsible for empanelment, administration, payments and performance evaluation of all vendors associated with the team as per the terms and conditions of the agreement signed.
