Job Description

  • Restrict unauthorized photography & developments around reception area.
  • Should maintain & update emergency contact numbers of Property Management team/ Security Management, facility team, Govt. Agencies and support staff.
  • Maintain a friendly, cheerful and courteous demeanor at all times and interact with visitors, VIPs, Govt. Officials, contractors, Vendors, Client Employees etc. in good gesture to collect all relevant information before issuing the visitor photo ID pass.
  • Should ensure that visitors are escorted into the facility by the employee called on if Photo ID passes could not be given.
  • Should answer and attend all incoming calls with professional etiquette and take necessary action to close the call.
  • Should not leave the reception area unmanned during her shift hours.
  • Prepare daily summary of visitors, interview candidates, vendors, etc.
  • Maintain log of request sent by clients related to their VIP movements.
  • Should be conversant with emergency protocols of any crisis situation in the HUBs.
  • Should have thorough knowledge of handling bomb calls and any other such threat calls. Handling of bomb call procedure should be rehearsed from time to time.
  • Keep vigil of the reception lobby area and report suspicious activity if any to the Protocol Officer/ Security Manager.
  • Maintain loss & found register and update it from time to time.
  • Check the cleanliness around the whole reception area and make sure reception table looks neat and clean/ presentable.
  • Check the status/ condition of ATMs and any abnormalities are to be reported to Protocol Officer/ Security Manager.
  • Maintain the log of events / function happening or about to happen in the HUB premises.
  • Maintain the reception area Occurrence Book.
  • Inform about damages, breakages etc. of the reception area assets to the Protocol Officer/ Security Manager.
  • Make sure that all the assets of reception area are in good condition.
  • Ensure that reception lights are switched on at appropriate time or as and when required.
Required Candidate profileManagerial:
  • Ability to converse fluently in English
  • Client facing skills: Ability to work with people at multiple levels within a customer hierarchy
  • Problem solving skills: Ability to give prompt viable suggestions, propose solutions, convince and manage objections

Technical:
  • Fluency in English
