Job Description

We are looking for an Executive Assistant (Male Candidate) to perform a variety of administrative support to the Director and manage all his work include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, great time management skills and be able to act without guidance.

  • Manage, coordinate and maintain diaries, social media, and calendar of Director including appointments, meetings, and travel. Also, EA needs to travel everywhere with the Director.
  • Responsible for organizing internal and external meetings on behalf of the Director ensuring all necessary requirements are made e.g. meeting venue, equipment, presentations, prepare agendas, etc.
  • Responsible for organizing Director travel and logistics including flights, visa requirements, hotel accommodation, car rental, meeting schedules while traveling and completing expenses.
  • Monitor and respond to incoming communications (including complaints) to Director including phone calls, emails, etc, basically acting as the first point of contact to dealing with correspondence and the clients.
  • Secretarial support for meetings as and when required by the Director, including drafting and circulating meeting agendas, preparing minutes, communicating meeting reminders, confirming venues and arranging refreshments. Writing and distributing comprehensive minutes and action points to all members post-meeting.
  • Drafting and writing high-quality reports and presentations, as required by the Director.
  • Communicating important updates and information required by the Director.
Required Skills
  • Minimum 1-2 years of work experience as an Executive Assistant, Personal Assistant or similar role (Only male candidates)
  • Outstanding organizational skills, ability to multitask and time management skills
  • Discretion and trustworthiness: you will often be part of the confidential information
  • Flexibility and adaptability
  • Excellent oral, verbal and written communications skills
  • The ability to be proactive and take the initiative
  • Knowledge of standard software packages and the ability to learn company-specific software if required.
  • PA diploma or certification is a plus
